Key Responsibilities

  • Provides direct support to the SVP of Operations
  • Proactively manage, update, maintain and coordinate executive calendar's, across multiple time zones, with attention to accuracy and detail while recognizing the need to re-prioritize as business initiatives change
  • Provides meeting related support including distribution of agenda and support materials as requested, meal and room coordination and follow-up communication
  • Prepare written communication, formal reports and presentations by collecting and analyzing information, providing recommendations for clarity, consistency and purpose
  • Assist leadership team as needed
  • Organizing, scheduling and coordinating meetings and/or conferences, prepare materials and facilities, including meals, and distribution of any follow-up communications
  • Coordinating and managing travel arrangements and trip planning
  • Preparing and processing expense reports
  • Process recurring purchase orders and submit purchase requisitions 
  • Filing and data management 
  • Consistently execute any and all special projects as requested 
  • Conserves executive's time by reading, researching, and routing correspondence, drafting letters and documents and collecting and analyzing information
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Reinforces Core Values and professionally reflects executive in all communications and interactions both internally and externally
  • Maintains customer confidence and protects operations by keeping information confidential
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal network and participating in professional societies

Required Qualifications

  • Associates degree in business administration or related field with 4+ years related experience
  • Ability to work well with all levels of internal management and staff, outside clients and vendors
  • Must maintain discretion and sensitivity to confidential matters
  • High level of proficiency in Microsoft Office (Word, Excel, PowerPoint, Access, Outlook and SharePoint)
  • Excellent verbal, written and interpersonal communication skills 
  • Detail oriented with high level of accuracy 
  • Ability to maintain continuity of assigned work with frequent interruptions and under complex or stressful situations
  • Flexibility and ability to manage multiple tasks in multi-executive environment 
  • Demonstrates and projects professionalism with a high degree of diplomacy, tact, and judgment
  • Strong problem solving and analytical skills
  • Excellent organizational and time management skills
  • Must be proactive and have initiative
  • Ability to work in and maintain a highly functional team environment

Preferred Qualifications

  • Bachelors degree in business administration or related field with 5+ years related experience
